Billable Hours & Utilization Calculator

It’s Friday, 17:40. You’ve been at your desk all week, yet the invoice total looks smaller than it should. Where did the hours go? Emails, quotes, bookkeeping, that course you finally started. This calculator splits your week into billable and non-billable time, shows your utilization, and tells you what each hour you work really earns. No sign-up, nothing leaves your browser. Just a clear picture in a minute.

FAQ

What is utilization rate?

It is the share of your working hours that you can invoice. If you work 40 hours and bill 24 of them, your utilization is 60%. The rest goes to admin, sales, learning and everything else that keeps a business running.

What is a good utilization rate for a freelancer?

There is no single right number. Many solo people find that some non-billable time is unavoidable, because you are also your own bookkeeper and marketer. Use your figure as a starting point to see where time goes, and compare it with your own past weeks rather than with someone else’s.

What is the difference between the rate per billable hour and the real rate per hour worked?

The rate per billable hour is your weekly income divided by billable hours. The real rate divides the same income by all the hours you work, including admin and sales. The second number is usually lower, and it is the one that shows what your week is actually worth to you.

How is the extra billable hour per year calculated?

The calculator takes your effective rate per billable hour and multiplies it by the extra hours per day, your working days per week and your working weeks per year. It assumes you can find clients for those hours at the same rate, so treat it as a what-if, not a promise.

What should I count as admin, sales and learning?

Admin is invoices, email, bookkeeping and scheduling. Sales is quotes, calls with possible clients, networking and marketing. Learning is courses, reading and trying new tools. If something doesn’t fit, leave it out; the tool shows the rest as unaccounted time.

Which income should I enter?

Enter your average weekly income from client work before tax. Divide a recent month or quarter by the number of weeks to get an average. The result is an estimate for planning and does not replace a tax professional or accountant.
